Two buildings can be the same size and still get very different janitorial quotes. Here’s what really sets commercial janitorial services cost, straight from the people who build the bids.
If you’ve ever collected bids for office cleaning, you’ve probably seen it. Same building, same square footage, and the quotes are nowhere near each other. The cost of commercial janitorial services isn’t set by square footage alone. It’s set by what happens inside those square feet, how often the work gets done, what’s included, and who the company sends into your building.
We’ve been building janitorial contracts across Fredericksburg, Stafford, and Spotsylvania since 1976. In the video below, we walk through the five things that actually move the price. This post expands on each one, then gives you a simple way to compare quotes so you’re looking at the same job.
1. How Your Facility Is Used
Square footage is where every quote starts, but it’s not what sets the price. Take 100,000 square feet and fill it with cubicles. Now take the same 100,000 square feet and make it a production floor. Those are two completely different cleaning jobs.
An office floor is mostly trash, vacuuming, restrooms, and break rooms. A production area can mean heavier soil, equipment to clean around, safety requirements, and floors that take a beating every shift. Medical offices, schools, and food service areas each bring their own standards too.
What your space is used for decides the labor, the products, and the equipment the job needs. That’s why a good bid starts with a walkthrough, not a square-foot rate pulled off a spreadsheet.
2. How Often It Gets Cleaned
Frequency is the next big driver. Daily service, twice a week, and once a month are three different contracts with three different prices.
The right frequency depends on your traffic and your standards. A busy medical office or a school usually needs nightly service. A small professional office with a handful of people may be fine two or three nights a week. The goal is to match frequency to how your building is actually used, so you’re not paying for visits you don’t need or living with a building that looks tired by Wednesday.
3. Services Outside the Base Scope
The base janitorial price usually covers routine custodial work: emptying trash, restrooms, dusting, vacuuming, and mopping. Everything beyond that is what pushes the scope price up. Common out-of-scope services include:
- Carpet cleaning and extraction
- Floor stripping and waxing
- High dusting (vents, ledges, light fixtures, anything above reach)
- Deep cleaning of restrooms, including tile and grout
- Kitchen and break room deep cleaning
You can get a bare-bones price for trash and basic custodial work. Or you can build these services into the contract. Either way, you should know exactly which ones a quote includes before you compare it to another.
4. Bundling Periodic Work Into Your Contract
Here’s where many facilities leave money on the table. When periodic services are part of your janitorial contract, the per-visit price usually comes down.
Floor care is the clearest example. If we strip and wax your floors four times a year, the floor never gets far from where it should be. Each visit is maintenance, and we can give you a better rate because the work is scheduled and predictable.
Compare that to stripping once a year on a floor that’s been hammered for twelve months. That job takes more labor, more product, and more time to bring back. And the floor looks worn for most of the year in between.
If you’re buying floor care one job at a time, ask what the price looks like as part of a program. You can read more about what happens during a strip and wax and how often commercial floors need it.
5. Who the Company Puts in Your Building
This is the factor that’s hardest to see on a quote, and it matters most. The people cleaning your building have keys, alarm codes, and access after hours.
Good people cost more. Vetted, background-checked, trained staff who take ownership of their buildings are worth paying for. People who are there for the hour and gone aren’t. A low bid often reflects a company that pays less, trains less, and turns over its crews more.
At PBM, we pay our people well because they take care of the clients and the buildings we’re trusted with. Our technicians are background-checked and trained, and we self-perform every job. No subcontractors, so you know who’s in your building every night.
A company with integrity does all of the things the client is asking for, does them properly, and takes the time to understand what the client actually needs. That’s also how you get a fair price.
How to Compare Commercial Janitorial Services Quotes
Don’t compare prices. Compare specs. Ask every company the same questions, and the quotes become comparable.
| Ask every bidder | Why it matters |
|---|---|
| Did you walk the building? | A quote without a walkthrough is a guess about how your space is used. |
| What frequency is this price based on? | Nightly and twice-weekly are different contracts. |
| Which services are included, and which are extra? | Carpet, floors, high dusting, and deep restroom work move the price most. |
| Is periodic floor care part of the contract? | Scheduled work is usually priced better than one-off jobs. |
| Are your technicians background-checked and trained? | These people have after-hours access to your building. |
| Do you use subcontractors? | You should know who’s in your building and who’s accountable. |
| Are you licensed and insured? | If something goes wrong, the risk shouldn’t land on your facility. |
If two quotes still look far apart after that, ask each company to explain the gap. A good one will tell you straight.

Frequently Asked Questions About Janitorial Costs
What affects commercial janitorial services cost the most?
How your facility is used, how often it’s cleaned, and which services are included. Square footage is the starting point, but a 100,000-square-foot office and a 100,000-square-foot production area are priced very differently.
Why is one janitorial quote so much lower than another?
Usually the two quotes cover different jobs. Check the frequency, the services included, whether floor care is part of the contract, and who the company sends into your building. Lower pay and less training often show up as a lower price.
Is it cheaper to bundle floor care into a janitorial contract?
Often, yes. Scheduled strip and wax work keeps floors in good shape, so each visit takes less labor. Stripping once a year on a heavily worn floor takes more work to bring back.
What services are usually outside a standard janitorial contract?
Carpet cleaning, floor stripping and waxing, high dusting, deep restroom cleaning including tile and grout, and kitchen deep cleaning. These can be added to the contract or bought as needed.
Do you need to see my building before giving a price?
Yes. A walkthrough is how we learn how your space is used and what you actually need. It’s the only way to give you an accurate, fair price.
